How to Maximize Networking ROI at Pharma Conferences

Maximize Networking ROI

Whether you’re new to the field or a veteran in attending and conducting pharma conferences and medical congresses, there are a lot of ways you can fall short of maximizing your networking ROI from the event. With HCPs, KOLs, vendors and strategic partners there’s a goldmine of opportunity when approached correctly. Let’s break down strategies for gaining measurable outcomes throughout the whole process.

Why it Matter to Maximize Networking ROI

In today’s climate having friendly conversations do not fully satisfy all the time and money that goes into medical congresses. Stakeholders want to physically see proof that attending and holding these events are beneficial to the company. Who was engaged and did any of the conversations spark action? Did relationships advance? Start tracking engagement with a KPI so you have evidence of what works and what doesn’t.

Pre-Conference Planning

Long before the day of the conference comes you need to plan out your strategy.

“We work with these organizations months in advance, usually it’s 2, 3, 4 months out from when a conference is physically going to take place,” Arielle Smith, President of Life Sciences at Event Cadence.

It’s important to decide what ROI means to the company early in the prep phase. Set some clear goals:

  1. How many HCPs touchpoints can your team meet?

  2. Which KOLs hold the highest priority?

  3. What gaps in your current network do you hope to fill?

Platforms like Event Cadence make it easy to pre-book appointments, avoid overlap, and make sure your high-value HCPs/KOLs are not missed.

On-Site Execution

While it is true great conversations can happen randomly on the floor, you don’t want to rely on luck. To maximize ROI, make strategic choices on who you are going to spend time with. Prioritize those who are decision-makers and have influence (Identify these individuals in your prep phase). Find new relationships that align with your company’s goals and those you can follow-up with. Log your notes and next steps right after each meeting. In this real-time environment important details can slip through the cracks so you want to keep track as best as possible.

Post-Event Follow-Up

The following 48 hours are an important time to take conversations and turn them into an opportunity. Go through your notes and categorize contacts. Then schedule follow-ups and ask yourself questions like, “What is the takeaway from your discussion?” or “What is the appropriate next steps with this contact? Email? A phone call? Meet in person?”

There are important tools that can be utilized after an event like surveys. Event Cadence has many in-depth and thoughtful surveys for attendees to take after that can greatly benefit companies.

“We have started to survey those HCPs and really hone in on the specifics of how they experience the interaction. If going into the interaction was clear, pleasant; if they understood their role in the conversation going into it.” Arielle Smith, President of Life Sciences.

Some more metrics that are helpful are levels of comfort. For example: Are there too many people in the room? Were conversations balanced? You want to find and remove and factors that could have led to you losing out on a potential connection.

Bonus: Metrics to Track ROI

Without tracking your ROI you cannot improve it. Here are some networking ROI metrics to follow:

  1. # of targets engaged vs total

  2. # of conversions that led next steps

  3. # of follow-ups within 1 week

  4. # of completed meetings vs scheduled

  5. # of new HCP/KOL contacts added
